What goes in a treasurer's report
- Opening balance on the first day of the month.
- Money in, by source: dues, donations, events, other.
- Money out, by category.
- Closing balance: opening balance plus money in, minus money out.
- The bank check: the balance on the bank statement, minus checks not yet cleared, plus deposits not yet showing. It should match the closing balance. If it does not, say so and say why.
- Year to date against the budget, so the board sees the trend, not just one month.
- Notes: anything the board should decide or know, in a sentence or two each.
In the files
- Excel. Type your figures and the sums, the bank check and the difference are done for you. The difference cell turns red if the books and the bank do not agree.
- Word. The same report as a table to fill in by hand or on screen, for clubs that prefer a document.
Presenting it
- Send it with the agenda, a few days before the meeting, so questions come prepared.
- Read out three numbers: closing balance, money in, money out. Then the notes.
- Ask the board to accept the report, and have the vote recorded in the minutes.
