Terms of Service

Version 1, effective 20 October 2026. Written to be read, which is why it is in plain sentences rather than capitals. Everything binding is on this page: the terms, the cancellation and refund policy and the acceptable use policy, all three of which are part of the agreement. Our Privacy Policy is part of it too.

These terms are an agreement between renuzy LLC, a Colorado limited liability company, doing business as renuzy ("renuzy", "we", "us"), and the organization that creates an account ("the club", "you"). By creating an account, or by paying for a plan, you agree to these terms on behalf of your organization. The person who signs up confirms they are 18 or older and authorized to agree for the organization.

1. What renuzy is. renuzy is software that helps an organization keep its member list, collect dues and donations, send reminders and receipts, and report on all of it. renuzy is a tool. It is not a bank, a payment processor, a tax adviser or a law firm.

2. Your account. The account belongs to your organization, not to any one person. You will keep your login details safe, keep your contact email current, and tell us at once if you think someone has used your account without permission. You may add team members; you are responsible for what they do in your account. When the person in charge changes, use the handover tool or send us written authority from the organization.

3. Plans, prices and payment. Plans are priced by member count and billed monthly or yearly in US dollars, in advance, by card. The first 30 days are free with no card. You pay when you go live, which is when you send your first renewal email to members. There is no setup fee, no onboarding fee and no migration fee on any plan. If a payment fails, we will tell you and try again; you have 30 days to fix it before your account is paused. Where the law requires it, sales tax is added to your plan price and shown separately at checkout.

Which members you pay for. You pay only for your paying members. A paying member is someone who is currently entitled to the benefits of membership and whose dues for their current term are covered, however they paid: card, bank transfer, check, cash, or a term paid up front. We count them once, on your billing date. Someone part way through a year they have already paid for still counts, and so does a member whose membership was paid for life. A household counts as the members it covers: one person can pay for the whole family, and each member in it counts.

Everyone else in your list is free, and there is no limit on them. Lapsed members, former members, people who have not joined yet, event guests and old records you have imported cost you nothing, however many there are. Keeping that history is how you win people back, so we do not charge you for it.

Moving between plans. When you pass 90% of your plan we tell you, and you move up to the next plan at your next renewal, at the price on your locked card. If your membership falls and a smaller plan would suit you better, tell us and we will move you down at your next renewal, also at the price on your card. We never move you mid period, in either direction.

4. No renuzy fee on payments. Your members pay you, not us, through your own Stripe account. Stripe charges its own card fees under its own terms, which you accept when you connect it. renuzy does not take a percentage of anything your members pay you.

5. Your price is locked. The full price card in force on the day you first pay is your price card for as long as you remain a customer, and for as long as renuzy operates. Moving up a plan uses your card, not the current one, and so does moving down. The lock holds while your subscription is continuous and you keep these terms. A subscription that is unpaid for more than 30 days, or that you cancel, ends the lock; if you return later, you join on the price card of that day. The lock belongs to your organization and does not transfer to another organization. It does not cover Stripe's fees, add-ons we price separately, or taxes we are required to collect. If we close renuzy, the lock ends with the service and we refund any prepaid, unused months.

6. Cancelling and refunds. You can cancel any time from your billing page, in one step. Monthly plans end at the end of the paid month and are not refunded. Yearly plans are refunded in full if you cancel within 14 days of your first yearly charge. After those 14 days, and on every renewal after the first, your plan runs to the end of the year you have paid for and is not refunded in part. Our Cancellation and Refund Policy says the rest and is part of these terms.

7. Your data. Your member list, payment records, content and logo are yours. You give us permission to store and process them to run your renuzy, and to show your name and logo inside the product and on your member cards. You can export everything at any time. After cancellation we keep your data for 90 days so you can export or come back, then delete it. You can ask us to delete it sooner. Our Privacy Policy says how we handle data and is part of these terms. Where the data protection law of the European Union or the United Kingdom applies to your members' information, our Data Processing Agreement also applies and is part of these terms.

8. Your responsibilities. You are responsible for the accuracy of your records, for having the right to email and text the people in your list, for what your messages say, for deciding whether your organization's receipts may describe gifts as tax deductible, and for your organization's tax filings and legal obligations. The receipt wording renuzy offers is a template; you decide whether it applies to you. You will follow our Acceptable Use Policy, which is part of these terms.

9. Your members. Your members pay you. Refunds, disputes and chargebacks between you and your members are yours to handle, and you will handle them fairly. renuzy never markets to your members. Members do not need an account and are not party to these terms. A member can tell you they have paid, and send you proof, but only you can mark a payment as received.

10. What we promise. We will run renuzy with reasonable care and skill, aim for 99.5% monthly uptime, back up your data every night, and tell you about any security incident that affects your data within 72 hours of confirming it.

Moving in from another system is free, on every plan, and it works two ways. You can import your own records yourself, with the columns matched for you, duplicates cleaned, a preview first and 30 days to undo the whole thing. Or you can ask us to do the move for you, and we will, at no charge. If we do it, we work from the files, exports and access you give us, with the same reasonable care, and you check the result before it counts as done. We did not create your old records, so we cannot promise they are complete or accurate, and we cannot recover something your old system will not release. Your own export from renuzy is available at any time, so you are never dependent on our copy.

Beyond that, renuzy is provided as it is. We do not promise it will be error free or fit every purpose, and we make no other warranty, express or implied.

11. Limits on our liability. To the extent the law allows, our total liability to you for anything arising from these terms or from renuzy is limited to the amount you paid us in the 12 months before the claim. We are not liable for indirect, consequential or special losses, lost revenue, lost donations, lost data that you could have exported, or losses caused by Stripe, your bank, your email provider or anything else we do not control. Nothing in these terms limits liability that the law does not allow to be limited.

12. Your indemnity. You will cover us for any claim, loss or cost that comes from your content, your member data, your messages, your tax or receipt practices, your breach of these terms, or any dispute between you and your members.

13. Our property. renuzy, its software, design, name and logo belong to us. You get a non exclusive licence to use renuzy for your organization while you have an account. You may not copy, resell, share, reverse engineer or build a competing product from it.

14. Ending the agreement. You can end it by cancelling. We can end it, or pause your account, if your subscription is unpaid for more than 30 days after we tell you, if you break the Acceptable Use Policy or these terms, if your account is used for fraud or anything illegal, or if our people are abused. We will tell you why. Ending for these reasons ends your price lock. We may also stop offering renuzy altogether; if we do, we will give you at least 90 days' notice, keep exports available for that time and refund prepaid, unused months.

15. Changes. We may change these terms by emailing you at least 30 days before the change takes effect. Changes never alter your locked price card. If you do not accept a change, you can cancel before it takes effect.

16. Disputes. These terms are governed by the laws of the State of Colorado. Any dispute that we cannot settle by talking will be resolved by binding individual arbitration under the Commercial Arbitration Rules of the American Arbitration Association, held by video or in Colorado, with each side paying its own costs unless the arbitrator decides otherwise. Either side may instead bring a claim in small claims court. Claims are brought individually, not as a class or representative action. You may opt out of arbitration by emailing [email protected] within 30 days of first accepting these terms.

17. The rest. These terms, the Privacy Policy, the Cancellation and Refund Policy, the Acceptable Use Policy, the Price Lock Promise and the Data Processing Agreement are the whole agreement. If any part is unenforceable, the rest stands. You may not assign these terms to another organization without our written consent. Notices to you go to your account email; notices to us go to [email protected].

Cancellation and Refund Policy

Part of these terms, effective 20 October 2026.

  • Cancel any time from your billing page, in one click. No calls, no forms, no reason needed.
  • Monthly plans run to the end of the month you paid for, then stop. There is no refund for the rest of the month.
  • Yearly plans are refunded in full if you cancel within 14 days of your first yearly charge. After those 14 days, and on every renewal after the first, there is no partial refund. Cancel 4 months into a $348 year and you keep renuzy for the remaining 8 months; nothing is refunded and nothing more is owed.
  • There is nothing else to refund, because there is nothing else to pay. No setup fee, no onboarding fee, no migration fee. Help moving your records in is free whether you do it yourself or ask us to do it.
  • Refunds go back to the card you paid with, within 10 business days.
  • Your data stays available to export for 90 days after cancellation, then is deleted.
  • Your price lock ends when you cancel. If you come back later, you join on the price card of that day.
  • Your members' payments are between you and your members. renuzy does not handle refunds of dues or donations; you issue those from your renuzy screen or from Stripe.
  • If we close renuzy, you get 90 days' notice, exports stay open the whole time, and we refund any prepaid, unused months.

Acceptable Use Policy

Part of these terms, effective 20 October 2026.

renuzy is for real organizations collecting dues and donations from people who have agreed to be contacted. Using renuzy, you agree not to:

  • Send email or texts to anyone who has not agreed to hear from your organization, or keep contacting anyone who has unsubscribed or replied STOP.
  • Collect money for anything illegal, or for anything Stripe's own terms prohibit.
  • Describe a payment as tax deductible unless your organization is entitled to say so.
  • Put anyone else's personal data into renuzy without the right to do so.
  • Share, resell or lend your account, or use one account for several unrelated organizations.
  • Misrepresent your members' status to reduce what you pay us.
  • Upload anything that is malicious, defamatory, hateful or infringes someone's rights.
  • Try to break, probe, overload or copy renuzy, or use it to build a competing product.
  • Abuse the people who support you.

If we see a breach we will tell you and, depending on how serious it is, ask you to fix it or pause or close the account. Closing an account for breach ends the price lock.
