How renewal reminders work

renuzy emails each member before their renewal date with what they owe and a link to pay. It goes out as your club, and it stops the moment they pay.

What a member gets

A short email from your club with the amount and a Pay button. They tap it, pay by card, Apple Pay or Google Pay, and get a receipt. There is no account to make and no password to remember.

If your club is not taking cards online yet, the reminder carries the payment instructions you wrote instead, such as where to send a check.

When reminders go

Every member has a renewal date. It is one date for the whole club, or a year from the day each member joined, whichever your bylaws say. The reminder goes before that date, during the working day in your club's time zone.

You can switch on extra renewal emails for members who have not paid by their date. Each one goes once.

What stops a reminder

  • The member pays. A card payment, or a check or cash you record, stops their reminders that day.
  • The member is a life member or a complimentary member. renuzy never asks them to renew.
  • The member pressed the link to stop club emails, or their email address bounced.
  • A payment is still going through, such as a bank payment that has not cleared.

A member who says they paid another way, such as a check in the post, still gets reminders until an officer approves it. That way nobody is marked as paid by mistake.

In your club's own words

Reminders are sent in your club's name, and replies come to the person you choose. Go to Email, then Receipts and reminder wording, to change what they say. The Pay link always stays in, so nobody gets a reminder they cannot act on.

Members on automatic renewal

A member who turned on auto renew does not get the usual reminder. They get an email before each charge to their saved card instead, and can turn it off in one tap. Only the member can turn it on.

Before the first reminder

A reminder needs two things on the member's record: an email address that works and a renewal date. The data check on Members lists everyone missing one, biggest problem first. Our free renewal email templates help if you want to write your own wording.

Questions

Do reminders go out by text message?

Not yet. Reminders go by email today. Texting members is coming later.

Who gets the replies?

The person your club picks in setup, under where member replies go. That is usually the treasurer or the membership chair.

Can a member stop reminders?

Yes. Every email from your club has a link to stop them.
