What is in it
- Plan tab. Event details, expected attendance, costs with budget and actual columns, other income such as sponsors, and the result: budget against actual.
- Break even price. Total budgeted costs, less other income, divided by expected attendance. The lowest ticket price that covers the event.
- Tickets tab. One row per buyer: ticket type, quantity, price, total, paid or not, how they paid, and checked in at the door.
- Ticket types. Set member, guest and child prices once on the Plan tab and the Tickets tab fills them in.
How to use it
- Fill in the event details, expected attendance and your cost estimates on the Plan tab.
- Look at the break even price, then set your ticket prices in the ticket types table.
- Add a row on the Tickets tab for each sale. Mark Paid when the money arrives.
- After the event, type the actual costs. The Plan tab shows how the event really did.
If your club is a charity and a ticket costs more than $75, the buyer may need a statement of how much is a gift. See the donation thank you letter for the wording. Raffles and sales tax on tickets follow state rules, so check yours before selling.
