What is in it
- Members tab. Name, email, membership type, amount, paid date, paid through date and status, with room for 500 members.
- Status works itself out. Paid, Due soon (within 30 days), Lapsed or Not paid, from the paid through date and today's date.
- Types tab. Your membership types and what each one costs. Pick a type on the Members tab and the amount fills in.
- Summary tab. How many members are paid, due soon and lapsed, dues collected this calendar year, dues still to come in, and a count by type.
How to use it
- Open the Types tab and replace the sample types and amounts with your own.
- On the Members tab, replace the sample rows with your members. Choose each person's type from the list.
- When someone pays, type the date in Paid date. Paid through fills in as one year later. If your club renews everyone on the same date, type that date over it instead.
- Filter the Status column to see who to remind this week.
The formulas, in plain words
- Amount looks up the membership type on the Types tab. You can type over it for a one off amount.
- Paid through is the paid date plus 12 months.
- Status is Not paid when there is no paid date, Lapsed when paid through is before today, Due soon when it is within 30 days, and Paid otherwise.
- Totals on the Summary tab use COUNTIF and SUMIFS, so they update as you add rows.
The CSV file has the same columns and sample rows without formulas, for Google Sheets, Numbers or importing into other software.
When the spreadsheet gets heavy
A spreadsheet works well until two people edit different copies, or the treasurer changes and nobody knows which file is current. That is usually when clubs look for dues software. renuzy is being built for exactly that moment, and it can import this file as it is.
